Getting your property ready

We can assess and arrange for repairs and the cleaning of your residential property. Just let us know what you require and we will be happy to assist you in getting your property ready.

Our service aims as a Nottingham letting agent is to protect and ensure the standard of maintenance is maintained. Ensure prospective tenants acquire the right type of property for their needs with the minimum of upheaval and inconvenience. We also scrutinise all prospective applicants using  "Homelet" a reputable vetting agency.

We will:

Visit you at the property

  • Advise on the level of rent you are likely to achieve letting your property
  • Discuss the steps you need to take prior to letting your property

  • Your responsibility to your mortgagees before letting the property prior to tenants taking a lease

B: Full Management of the property

Our full management of the service means that you the landlord will never have to be troubled by the day to day matters and will not have to deal directly with the tenants.

We will provide all the above Let Service plus:

  • Ensure safety regulations/certificate is in place and up to date for gas, electricity soft furnishings
  • Check and advise on smoke and safety alarms and make recommendations to improve security
  • Collection of rent and security deposits
  • Arrange for rent to be made via standing order, with quarterly statements sent to the landlord
  • Take meter readings and advise new tenants of utilities
  • Full detailed inventory to be signed by tenant
  • Quarterly inspections and report to the landlord
  • Advise tenant and landlord on appropriate insurance/tenancy deposit rules
  • Use experienced reputable tradesman to carry out any repairs and maintenance
  • Alert you if the tenancy agreement is broken
  • In the event of a NTQ and or reposession we will conduct this on the landlords behalf
  • Arrange a full property inspection and inventory at the end of the tenancy
  • Overseeing the final inspection and hand over from the outgoing tenant
  • Arrange and necessary cleaning and minor repairs, deducting costs from the tenants deposit where applicable

With this option the landlord can be assured their interests and the property is professionally taken care of, and you don't need to be troubled with the day to day problems.

We make an administrative charge of £40.00 for each renewal of an existing agreement.

What Happens If The Tenant Doesn’t Move Out After The End Of A Tenancy?
First, try to quickly establish the reasons why. However, if a tenant does not move out after a tenancy has been lawfully terminated then the landlord can apply to the Courts for a possession order. Under the Accelerated Possession Procedure (which can be used where the tenancy was an Assured Shorthold) the process is usually fairly quick and inexpensive.

What if the tenant wants to extend their tenancy agreement?
This can be done with the agreement of the landlord. The company will carry out a property inspection and providing the terms of the tenancy has not been breached, a new agreement can be signed.

Landlords responsibility
It is the landlord responsibility to insure the building and its contents, fixtures and fittings.

At the end of the tenancy we will get the agreement of both sides before making any deductions for damage, cleaning etc.

Is your property a House in Multiple Occupation (HMO)?
If your property is on 3 or more levels and let to 5 or more tenants comprising 2 or more households (i.e not all of the same family) it will be subject to mandatory licensing by your local authority. Whether mandatory licensing as above applies or not, if there are 3 or more tenants not all related in any property, it is still likely to be an HMO, and special Management rules apply.

Inventory/Schedule of Condition
It is important that an inventory of contents and schedule of condition be prepared, in order to avoid misunderstanding or dispute at the end of a tenancy. Without such safeguards, it will be impossible for the Landlords to prove any loss, damage, or significant deterioration of the property or contents.
In order to provide a complete service, we will if required arrange for a member of staff to prepare an inventory and schedule of condition, at the cost quoted in our Agency Agreement.

Tenancy Deposit
MPS is a member of the Deposit Protection Service. Your deposits will be submitted to the specialist Deposit Services team who will safeguard and administer all deposit funds. In the event of a dispute, the independent Alternative Dispute Resolution (ADR) services, run by the Chartered Institute of Arbitrators, will aim to resolve any disputes quickly and without the need for court action.

Tax
When resident in the UK, it is entirely the Landlords responsibility to inform the Revenue & Customs of rental income received, and to pay any tax due. Where the Landlord is resident outside the UK during a tenancy, he will require an exemption certificate from the Revenue & Customs before he can receive rental balances without deduction of tax. Where we are managing the property we will provide advice and assistance on applying for such exemption.

Energy Performance Certificates (EPCs)

It is now a legal requirement for all landlords with properties to provide an EPC for all new tenants. Why? EPCs will allow prospective tenants to see how energy efficient a property is on a scale of A to G; the most efficient properties are in band A and should therefore have lower fuel costs. This may well become an important factor in deciding between potential properties. Failure to include an EPC when handing over a new Tenancy Agreement could result in prosecution and fines.

Insurance
Research shows that the let property market is changing. There is growing trend for landlords to own more than one property and Endsleigh have developed Landlords Portfolio Insurance as a direct response to these changes.

Content insurance is necessary for both Landlord and Tenant; we recommend that tenants produce a copy of their insurance policy within 1 month of the commencement date of tenancy. Insurance policies details are available from MPS.

As you may be aware, we work in partnership with Endsleigh Insurance Services to provide first class referencing and specialist insurance products to the property industry. We have just been informed the they have re-designed their on-line landlords buildings and contents quotation system.

Housing Health and Safety Rating System (HHSRS)
The HHSRS provides an analysis of how hazardous a property is through assessment of 29 potential hazards found in housing.
